Gentlemen: This document explains the insurance verification procedure the
ANV will use until further notice. Proper insurance coverage will be
verified at all ANV maximum events and at other events at the discretion of
the division commander.
Our insurance requires that: "Every re-enactor taking the field in a battle
or any scenario involving weapons must be,
1) in uniform,
2) know what unit he/she is
serving with, 3) know his/her
unit commander’s name, 4) know
his/her chain of command, by name and rank, to at least three levels above
himself/herself and 5)
any participant under the age of 18
must have in his/her possession a pass signed by his/her company commander
acknowledging his/her age and permission to participate with the company in
the field."
Procedure
Pick up your battalion’s insurance roster from the ANV insurance coordinator
at division HQ. Colonels or their designees will determine that all those
serving in the battalion or regiment are covered by our insurance policy.
This list check-off must be
conducted each day at the event.
Do not wait until first call.
Individuals not named on the insurance lists must report immediately to the
insurance coordinator at division HQ. The coordinator will attempt to
determine the exact reason as to why the individual(s) are not listed as
being insured.
Once the colonel is satisfied that all participants under his command are on
his list or are otherwise accounted for, he
need
not issue Field Passes to his
entire command. Only those participants who might appear to division
provost and inspection personnel to be
under the age of eighteen years
or non-ANV soldiers whose
participation is approved by the colonel should be issued a Field Pass.
Other than the above, those participants who are obviously over the age of
eighteen years need not be issued a pass.
Each colonel’s insurance list must be returned to the insurance coordinator
no later than noon on the final day of the event.
The commanding general will rely on the diligence and accuracy of the
division’s officer corps and Department of Provost and Inspections to insure
that this process is conducted accurately. The Provost and Inspections
Department’s pre-scenario Field Pass inspections will be "spot checks" of
those who appear to be under the age of 18 years and others whose insurance
coverage is at question. The
Provost and Inspections Department is authorized check any participant’s
event pass and Field Pass at any time during the event.

Field Pass Procedure
Space #1: The pass holder’s name should appear in space #1.
#2: The pass holder’s home unit company designation (A, B, C, etc. or
the home company
commander’s name) should appear
in space #2.
#3: The pass holder’s home
regimental designation (38th Va. Inf., etc.) should appear in
space #3
#4: The pass holder’s ANV battalion/regiment designation (3rd
Regt. ANV, etc.) should appear in
space #4.
#5: The pass holder’s age should appear in space #5.
#6: The event name (Cedar Creek, etc.) should appear in space #6.
#7: The date of the impending
scenario should appear in space #7.
#8: The legible signature
of the pass holder’s Colonel (or
his designee) for the impending
scenario
should appear in space #8.
